Short-Term Rentals & Combinations
Can Rentware handle short-term rentals?
- Yes, absolutely. This is Rentware’s core strength – and it can be flexibly combined with long-term and subscription models.
- Limitation: The rental period is defined per booking. Currently (as of 2026), items with different rental periods must be processed in separate bookings.
Is Rentware suitable for pure B2B models?
- Yes, it works well. Since B2B requirements are often highly customized, it’s best to briefly coordinate your specific model directly with our team.
Long-Term Rentals
How flexible is payment processing for long-term rentals?
- Very flexible: We support online one-time payments, down payments, and automatic monthly rental payments via credit card or SEPA direct debit.
- Smart Features: You can set thresholds to determine when monthly payments are permitted. Customers can update their payment method or credit card during the active rental period. If a payment fails, automated reminders are sent out.
- Important 2026 Updates:
- Monthly partial invoices: Currently handled via a quick manual workaround and will be fully automated starting mid-2026.
- Item swap: Exchanging the rented item during an active rental period currently requires a separate, new rental transaction.

Subscription & Sharing Models
Are “true” subscription models (open-ended with a notice period) supported?
- Currently with limitations: Automatic monthly payments already work perfectly. However, the system technically requires an end date for now; cancellations and extensions must be managed manually.
- Outlook: A fully automated subscription logic is scheduled to roll out by the end of 2026.
Can I run sharing or free-floating models with Rentware?
- Classic Sharing: Please reach out directly to our sales team to discuss whether your specific concept is a good fit.
- Free-floating: No. We cannot support free-floating concepts (e.g., parking vehicles anywhere across a city without designated stations).
Rental Items, Inventory & Availability
Yes, Rentware allows you to create and manage an unlimited number of locations within a single system.
Pricing, Plans & Trial Account
With Rentware, you can choose between two pricing models: a revenue-based plan and a user-based fixed-price plan.
With the revenue-based model, your monthly fee is based on your net revenue. This means that if your revenue increases, your fee increases as well. If your revenue decreases, your fee decreases accordingly.
Alternatively, Rentware offers a user-based pricing model. In this model, you pay a fixed monthly amount per user. This option is especially suitable if you prefer predictable monthly costs.
This allows you to decide whether you want to pay flexibly based on revenue or choose a fixed monthly price per user.
Yes, Rentware offers different subscription plans. However, all essential features are included in every plan, so you can use the core Rentware features regardless of the subscription model you choose.

How can I automatically transfer my outgoing invoices to Lexware / Lexoffice?
Transferring your invoices generated in Rentware to Lexoffice is simple and seamless via automated email forwarding. Every time an invoice is sent to a customer, a PDF copy is automatically sent directly to your Lexoffice inbox.
You can set this up in two easy steps:
Step 1: Set up the email address and permission in Lexoffice
To ensure Lexoffice accepts invoices sent by Rentware, you need to retrieve your personal inbox address and add Rentware as a trusted sender.
- Log into Lexoffice and click on the gear icon (Settings) in the top right corner.
- Select the menu item Belegempfang (Document Receipt).
- Here you will find your personal Lexoffice email address (it usually ends with
@inbox.lexware.email). Copy this address. - CRITICAL STEP: In the same menu, specify which senders Lexoffice is allowed to accept documents from. You must add the following address:
noreply@mg-eu.rentware.io(Since Rentware sends invoices through this system address, Lexoffice will block the receipt if this permission is missing).
Step 2: Activate email forwarding in Rentware
Now, connect Rentware to the Lexoffice address you just copied.
- In Rentware, navigate to the Channel Settings.
- Create a new channel for the message type “Rechnung” (Invoice).
- Paste your copied Lexoffice email address (
...@inbox.lexware.email) into the “Recipient” field. - Make sure to assign the specific Categories and Objects (product categories) for which invoices should be automatically transferred.
- Save your changes – and you’re done!

Privacy, Security & Reliability
In our understanding, the Platform Tax Transparency Act (PStTG) does not apply to Rentware as a software provider. The law generally applies to operators of digital platforms that bring together providers and end customers through their own platform.
Rentware does not operate a marketplace and does not broker services between third-party providers and end customers. Instead, Rentware provides software that enables companies to manage their own rental processes through their own website, under their own brand, and in their own name.

Scope of Features & Limitations
Rentware can be used in almost any language. The online shop and all customer communication can be configured in many languages, including multilingual setups. All texts can also be translated automatically or translated manually on an individual basis.
The only critical cases are languages that do not fit the software’s layout or design. When in doubt, please contact our support team at support@rentware.com. If required, we can enable language-specific character sets.
The backend / rental provider interface can currently be set to English, German, Spanish, Polish, Dutch, Portuguese, Italian, and French. Additional languages can be enabled on request.
